ATS and application systems
After you apply: from the ATS to the recruiter screen
The stages an application usually passes through after submission, what a recruiter checks at each one and how to be ready for a screening call.
The usual sequence
| Stage | Who is involved | What is checked |
|---|---|---|
| Submission stored | The system | Required fields and screening answers |
| Initial screen | A recruiter or hiring manager | Essential requirements, right to work, location |
| Shortlist | The hiring manager, sometimes a panel | Evidence for the main requirements compared with other applicants |
| Screening call | Usually a recruiter | Motivation, availability, salary expectations, notice period |
| Interview or assessment | The hiring team | Depth of experience and fit with the role |
Not every employer uses every stage, and some use automated scoring or tests at the start. The employer's privacy notice or the advert may say if automated decision-making is used.
What a recruiter checks first
- Whether the essential requirements in the advert are clearly met.
- Whether the most recent experience is relevant to the role.
- Practical fit: location, working pattern, right to work and notice period.
- Whether the application looks written for this role or sent to many.
That is why a resume that states essentials plainly near the top often does better at this stage than a longer one that buries them.
Preparing for the screening call
Have these ready
- A two-minute summary of your background and why this role.
- Your notice period and earliest start date.
- A considered salary range, based on evidence you could explain.
- Your right-to-work status and any working-pattern needs.
- Two or three questions about the role and the next steps.
- The version of the resume and answers you submitted.
While you wait
Waiting times vary from days to weeks. Note the closing date, follow up once after it if you have heard nothing, and keep applying for other roles. Luceria's free tracker keeps your follow-up dates and the documents you used for each application in one place.
Common questions
How long should I wait before following up?
Wait until after the closing date and then about a week, unless the advert gives a timeline. One polite follow-up is reasonable; repeated messages are not.
Is the screening call an interview?
It is usually shorter and more practical, but treat it seriously: it decides whether you reach the formal interview.
