PDF or Word: which resume file should you upload?
How to choose between a PDF and a Word resume for an online application, what can go wrong with each, and how to check the file before you upload it.
Start with what the employer asks for
Many portals list the file types they accept next to the upload button, and some adverts ask for Word because a recruiter edits or reformats documents before sending them to a hiring manager. An instruction like that settles the question. Ignoring it adds a small, avoidable reason for friction.
When there is no instruction, either format is reasonable. Applicant tracking systems are configured differently by each employer, so no outside source can tell you which one a particular system handles better. Focus on producing a clean file in whichever format you choose.
What can go wrong with each format
| File type | When it works well | What can go wrong | How to check |
|---|---|---|---|
| PDF exported from a word processor | Layout stays exactly as designed on every device | Text from complex layouts can come out in the wrong order | Select all text in the PDF and paste it into a plain text editor |
| Scanned or 'printed to image' PDF | Rarely; only if the employer accepts images | There is no text at all, only a picture of text | Try to highlight a single word; if you cannot, there is no text |
| Word document (.docx) | Recruiters who reformat or annotate resumes | Text boxes, floating shapes and unusual fonts may shift or disappear | Open it on another device or in a different program and read it through |
| Older Word format (.doc) | Only when specifically requested | Some modern systems handle it less consistently | Re-save as .docx unless the employer asks for .doc |
How to produce a clean PDF
- Write the resume in a word processor or editor rather than a design tool that turns text into shapes.
- Use the program's export or 'Save as PDF' option, not a print-to-image or screenshot route.
- Open the PDF and try to select a sentence. If the cursor selects the whole page as one block, the text has been flattened.
- Copy all the text and paste it into a plain text editor. Read it in order and confirm the headings, dates and job titles appear where you expect.
How to produce a clean Word file
Keep the document in ordinary paragraphs and bullet lists. Content placed in text boxes, shapes or headers may be read separately from the main body or not at all, depending on the system. Use a common font so the layout does not change when the file is opened on a machine without your font installed.
Turn off tracked changes and remove comments before saving. A reviewer who opens the file with markup visible sees your drafting history, which is not what you meant to send.
Name the file so it is easy to find

After

Include your name and, if you tailor resumes, the role. Avoid version numbers and words like 'final'.
Before you press upload
- The format matches any instruction in the advert or portal.
- Every word in the file can be selected as text.
- Pasting the text into a plain editor gives a sensible reading order.
- Tracked changes and comments are removed.
- The file name includes your name.
- I have opened the exact file I am uploading, not just the editor view.
Common questions
Is it safer to upload both a PDF and a Word version?
Only if the portal has a separate field for each or asks for both. Uploading two copies of the same resume to one field can create duplicate records or confuse the reviewer.
Can I upload a resume made in a design tool?
You can if the export contains real text in a sensible order. Run the select-and-paste test; if text comes out scrambled or missing, rebuild the resume in a word processor.
Does Luceria check the file format?
Luceria's free CV / resume check reads a PDF or Word file in your browser and flags parseability and formatting problems. It cannot tell you how one employer's system is configured.
