What is included in the free tracker?

The workbook contains a blank Applications table, a formula-driven overview and a short Start Here sheet. The table has 200 editable rows and dropdowns for priority, work mode and application status. The overview counts tracked roles, submitted applications, interviews, offers and follow-ups due from the rows you complete.

Which fields should a job application tracker include?

Use one row for each genuine opportunity. Record the company, role, source URL, location, work mode, date saved, date applied, current status, next action and follow-up date. Keep the exact CV or resume version beside the application so later interview preparation uses the document the employer received.

A notes field can hold process facts, questions and short interview reminders. Do not store passwords, bank details, identity-document numbers or more personal information than the search requires.

How should application statuses be used?

Move a row only when something real changes. Saved means the role is worth considering. Preparing covers tailoring documents, checking requirements or completing questions. Applied means the application was submitted. Assessment, Interview and Offer represent confirmed employer stages.

Accepted, Rejected and Withdrawn close the row for different reasons. A lack of response is not automatically a rejection, and an application should not be marked as under review unless the employer's system or message actually says so.

When should a follow-up date be added?

Use the employer's own timeline where one exists. If an advert closes on a stated date or a recruiter promises an update, base the reminder on that process event rather than a universal waiting period. A useful next action is specific, such as checking a promised update or preparing for a confirmed assessment.

After one concise follow-up, avoid repeated messages without new information. Keep the rest of the search moving and update the tracker only when the employer communicates a real change.

Why track the submitted document version?

A tailored application may use different evidence, wording and examples from another role. Recording the file name or version prevents interview preparation from drifting away from what the employer saw and makes it easier to reuse accurate source material without sending the wrong document.

Use a clear naming convention such as surname, employer, role and date. Review the exported file before submission, and never claim a qualification, result or responsibility that the underlying experience cannot support.
